A specialist SEMH school in Havant is looking to appoint a highly organised Administration Assistant with a strong focus on student attendance.
This role sits at the centre of the school’s daily operations, ensuring that attendance data is accurate, up to date and effectively monitored. In a setting where structure and consistency are vital for students, strong administrative support plays a key role in helping pupils stay engaged with their education.
The successful candidate will join a small, professional admin team working in a calm and organised office environment supporting staff, families and external services.
The position is heavily focused on attendance administration, alongside supporting wider student records and administrative systems across the school.
Key responsibilities include:
Maintaining accurate student attendance records and updating absence information on the school system
Producing daily reports such as late arrival and early departure lists
Liaising with teaching staff to resolve missing or incorrect register marks
Supporting attendance monitoring and follow-up processes
Maintaining behaviour and incident records
Preparing student correspondence, including suspension documentation
Maintaining records for students accessing Alternative Provision
Recording attendance data from external providers
Booking student transport and taxis where required
Maintaining operational records such as incident logs and evacuation registers
Supporting medication administration in line with school procedures
Ensuring all documentation relating to students and staff is accurately filed and maintained
This is a varied role that requires someone who can work methodically, manage detailed information and remain calm in a busy school environment.
We’re keen to hear from someone who:
Is highly organised and detail-focused, particularly when managing attendance data
Can communicate clearly and professionally with staff, families and external services
Works well within a team environment but can also manage tasks independently
Is confident using IT systems and databases (experience with Arbor would be beneficial but not essential)
Understands the importance of confidentiality and safeguarding
Can maintain a calm and professional approach in a busy school setting
Experience in school administration or attendance management would be advantageous but not essential.
